Pioneer is committed to safeguarding your personal and sensitive personal information to ensure confidentiality, integrity, privacy, and availability in compliance with the Data Privacy Act of 2012 (DPA).
This privacy notice informs you on how we protect and process your personal information with the assurance that physical, technical, and organizational security measures are in place with our processes and application systems.
I. Service Description
Pioneer is group composed of insurance companies that offer products for Life, Property, Casualty, Financial Lines, Marine, Motor, Homeowners, Health, Travel, Special Risks and other insurance related products.
II. Personal Information that are Collected
We strictly collect and process your Personal, and Sensitive Personal Information (collectively termed as āDataā within this privacy notice) as defined under the DPA, in accordance with the law, and solely in line with the purpose of our transactions.
The collected Data may include the following:
- Personal information and contact information such as name, address, contact number, email address, etc.,
- Sensitive personal information such as birth date, age, nationality, marital status, gender, education history, religion, etc.,
- Official Identification documents such as but not limited to government-issued IDs, birth certificate, and marriage certificate,
- Biometric, photos, videos, medical, and health information,
- Financial and/or payment information,
- Employment details and political affiliations,
- Information about your property,
- Information to provide products and services.
When you visit our websites and online stores, we use tools to collect Data such as IP address, the browsing behavior of our website visitors, the frequency and length of visits, geographical location or similar of visitors. All Data collected is processed and used to improve the performance and functionality of our websites, and to provide better customer service and experience.
III. Collection Method
Your Data is collected directly from you or your family member/s or representative/s. These may come from printed or digital copy of your application form, registration, inquiry, other insurance forms, telephone calls, emails, or registration in any of our websites, and other communication means and platforms.
We also collect your Data from brokers, agents, intermediaries, referrals, business partner, corporate client and from any publicly available information or records through email, systems integration, and other means of communication.
IV. Timing of Collection
When you avail or purchase Pioneerās products and services, and provide us your data, you agree, authorize, and consent to Pioneer processing your data for valid and legitimate purposes under the law, and is subject to terms outlined in this Privacy Notice.
V. Purpose of Collected Data
We collect data from your application, claim, and other insurance forms; digital copy, printed copy, telephone calls, emails, and other means of communication for any of the following purposes and services:
- To process insurance application, insurance claims and other requests;
- To administer insurance policy;
- To provide servicing and support;
- To provide legal services;
- To research, underwrite, and conduct data analytics to improve our services;
- To inform you on Pioneerās latest updates, special offers, and event invitations;
- To ensure security within company premises;
- To comply with regulatory requirements such as but not limited to, of the Insurance Commission (IC) and Anti Money Laundering Council (AMLC);
- To comply with data parameters, to enable client matching and to update customer information within Pioneer database;
- To comply with contractual requirements.
VI. Secondary Purpose of Processing
We will not process your personal information for purposes not stated in the preceding section. If we need to process your personal information for other purposes, we will directly ask for your consent through electronic mail, SMS, or voice call prior to processing.
VII. Security, Storage and Transmission of Personal Information
We ensure the security of your provided data by implementing necessary and adequate physical, technical, and organizational controls in accordance with, and aligned to the DPA and related rules and regulations, issued by government entities, and security standards issued by competent security organizations.
When you browse and share your information on our website and online stores, we protect the data in transit by having Secure Socket Layer (SSL) encryption and we store your personal information in a secured data center behind firewall with adequate security controls.
When you purchase our products online, you will be directed to a secure page where you can input your data to complete the transaction. To keep your data and financial information secure, we are partnered with certified payment gateway providers for our online stores. All direct payment gateways adhere to the standards set by the Payment Card Industry Data Security Standard (PCI-DSS) as managed by the PCI security standard council, which is a collaborative effort of brands like Visa, Mastercard, American Express, and Discover.
VIII. Method of Use
We will use your personal information together with other information you have provided to fulfill the purposes stated in this Privacy Notice.
We may use your contact information to advise you about our sales distribution channels, new products, and other updates. To the extent allowed by law or where you have consented to be contacted for such purposes, we may also send you marketing communication materials.
IX. Location of Personal Information
Your personal information is stored within our Pioneer data center located in the Philippines, and within the data center of our Cloud service provider.
X. Third-Party Transfer
In general, we will only disclose your Data to authorized third parties for the following purposes:
- To process application for insurance,
- When required by applicable laws,
- In response to legal proceedings,
- In response to a request from a competent law enforcement agency,
- To protect our rights, privacy, safety or property, or the public,
- To enforce the terms of any agreement,
- To maintain and improve customer relations,
- To conduct research analytics.
If we need to disclose your personal information to our third-party providers and partners to fulfill our services, we will ensure that they are contractually bound through a Data Sharing Agreement (DSA) or Data Outsourcing Agreement (DOA) to ensure that your information is secured under our service agreements.
XI. Retention Period
The collected personal information is stored and retained in our database and records for as long as it is necessary to conduct the following:
- Performance of our services,
- Fulfillment of the declared, specified, and legitimate purpose, or when the processing relevant to the purpose has been terminated,
- Establishment, exercise, or defense of legal claims,
- Requirement by applicable law or regulation,
Legitimate business purposes, as may be consistent with insurance industry standards or approved by appropriate government agency.
XII. Participation of Data Subject
As a data subject and in accordance with the DPA, you are entitled to exercise the following privacy rights:
- Right to be informed: The right to be informed on whether your Data will be used or has been used. Pioneerwill provide you the general information about how we processed your personal information, including the collected data from you, the purpose of its collection, and other relevant information related to your data.
- Right to object, withdraw or edit: The right to object, withdraw, or edit your consent to the processing of your Data upon discovery, and substantial proof that the personal data are incomplete, outdated, false, unlawfully obtained, used for unauthorized purposes, or are no longer necessary for the purposes. By exercising this, we will not process your Data unless required by law and properly administered to provide you with our quality services.
- Right to access and data portability: The right to access and obtain a copy of your Data in physical or digital format. This is subject to a request and approval process, by sending a request to access or contacting our customer service hotline.
- Right to rectify: The right to request to correct your data if you observe inaccuracies or errors on your personal information by reaching us through our contact information below.
- Right to erasure or blocking: Upon discovery and substantial proof provided on the Data Privacy Act of 2012, you can suspend, withdraw, or order the blocking, removal, or destruction of your personal information from our processing system.
- Right to file a complaint: The right to file a complaint before the National Privacy Commission (NPC) if you sense any data breaches of your personal information. Furthermore, concerns you sought for our attention to satisfactorily address it.
- Right to damages: As a data subject, you have the right to be indemnified for any damages sustained due to inaccurate, incomplete, outdated, false, unlawfully obtained, or unauthorized use of your personal data, taking into account any violation of your right and freedoms as data subject.
XIII. Transmissibility of Data Subject Rights:
The lawful heirs and assigns of the data subject may invoke the rights of the data subject to which he or she is an heir or an assignee, at any time after the death of the data subject, or when the data subject is incapacitated or incapable of exercising the rights.

Pioneer reserves the right to update or modify this Privacy Notice from time to time in response to changes in the implementing guidelines and regulatory requirements of the law and if there are improvements in the security technology and consumer requirements.
